Writing a Proposal Letter for Coffee Shop
There are several steps an entrepreneur needs to take to realize his or her great business idea. If this idea is a new coffee shop, the entrepreneur may need to get financial support from a bank, lending institution or friends and family. Before any reputable institution will lend start-up money, it needs to have clear evidence that the entrepreneur has what it takes to make the business a financial success.
This may include a good business plan and proposal that makes clear the entrepreneur can create a coffee shop that will draw and keep customers. It should also show how the borrower plans to minimize costs and maximize profits, create an attractive atmosphere and that the entrepreneur has enough knowledge and experience in the business. A short proposal letter giving pertinent details should accompany the business proposal.
There are more than 50,000 coffee shops in the U.S. and the number is growing. If an entrepreneur wants to start a new business, he or she will need to give lenders a good reason to invest. This includes how the new coffee shop will stand out from the rest. For example, it may have a super location with no competition within miles, serves excellent coffee and snacks at lower prices than local competition, or provides a comfortable meeting place for locals, students or shoppers.
Find Funding
One of the best ways to find funding is to contact the US Small Business Administration (SBA). It will help connect the entrepreneur to lenders that are willing to support small businesses as well as to other programs that support small businesses. The SBA has local offices where people can get free counseling and advice about starting a small business. It is usually recommended for restaurants to be Limited Liability Companies (LLC).
While much of the same information that is in the proposal letter will also be in the business plan, the purpose of the letter is to give the lender a quick view of the important facts. The aim is to make the lender feel interested in reading the business plan.
The letter should contain the following information:
• The location of the coffee shop
• The primary investors
• The date of opening
• The targeted clientele
• The services offered
• The main vendors of coffee beans
• The required government permission
• The borrower’s solid grounding in the business
• The borrower’s knowledge of running a coffee shop
The proposal letter will most probably be read before the lender looks at the formal proposal. If the letter gives a credible impression, there is a better chance the proposal will be considered. The borrower may want to include certain details about the business to attract the interest of the lender. However, these details should be kept to a minimum, after all, they will be in the formal proposal.
Some examples are:
• Labor costs
• Price of one cup of coffee
• Other food served and its source
• Monthly rent of premises
• The brand of coffee and why it is good
• Any selling points such as the beans are organic or Fair Trade
• How many cups need to be sold each day to cover expenses
• Information about the décor
• Any additions such as free Wi-Fi, magazines or TV
Below is a sample proposal letter for a coffee shop. It is a formal business letter and must have correct spelling and grammar to show the lender that the borrower is professional. If it does not accompany the business plan and formal proposal, it may be sent by certified mail to the person concerned. If the letter is to a bank, the borrower needs to call the bank and find out the name of the person in charge of lending to businesses.

RE: Cover letter for a loan to open a coffee shop
Dear Name of Lender:
This is a formal letter to accompany my request for a small business loan. I have worked in Name of Coffee Shop at ADDRESS for the past five years. The first four years I worked part-time while I finished my degree in business administration, and the last year I worked there full-time as the manager. It is my aim to open my own coffee shop at ADDRESS near the Techno Park. There is no coffee shop in this area and my market research shows that a good coffee shop would be a success.
I have secured the location on the main road into the Park and all of the government certificates and permission to open the shop. I have also received a certificate of approval from the health department. My aim is to open the shop on DATE, but I do not have the funds to finish fitting out the interior. I plan to seat 20 in a relaxing and stylishly designed environment.
I will serve freshly brewed coffee from 6am – 8pm six days a week and closed on Sundays from beans supplied by my vendors at Brazil Coffee Beans. I also plan to serve homemade cake and cookies from a local vendor that also has restaurant permission certificates. My friends and family have provided half of the amount I need, and I have purchased the coffee-making equipment. I am requesting you to give the other half, which is AMOUNT.
I hope all of your questions are answered in my formal proposal. If not, I can be reached at Phone Number or at Email Address. I am hoping for a favorable reply soon. Thank you for taking the time to consider my proposal.
Sincerely,

Writing a Going Out of Business Letter
Once the decision has been made to close a business, the owners need to inform their customers, suppliers and creditors as soon as possible. The best method is to send a formal going out of business letter that contains any details the receiver should know.
There may be actions required such as collecting laundry from a cleaning establishment or a laptop from a computer repair business. It may also be necessary to remind customers to pay their outstanding balance. Even though the business is closing, and the owner is moving on to other endeavors, it is important to be professional in the way he or she closes their business.
A clear and simple business letter may give the reasons for closing the business, so suppliers and customers need not wonder what’s going on, but this is not essential. If the business is a franchise, and the owner plans to open his or her own business in the same line, it is recommended to clearly state this because owners will want to keep their regular clientele.
The letter also gives the owner a chance to thank customers and suppliers for their business and say good-by to any person or establishment that helped the business during its years of operation. The letter should be tailored to fit the circumstances of the business as well as the intended recipient.
It is more professional if customers and suppliers and anyone else who has been working closely with the business learn that the business is closing directly from the owner or manager, rather than by an Out of Business sign on the door. It may not be possible to send a business letter to all customers, but if they owe payments for goods or services, or if the business is still completing orders for them, a personal letter is recommended.
It is always a good idea to keep a friendly professional relationship with all customers and suppliers and terminate the business relationship on a positive note. The main things the letter must convey are:
• A professional end to the business relationship
• A thank-you for customer support
• A thank-you for the products and services of suppliers
• A plan of action for the partners, customers, and suppliers before the last day of business
• The exact closing date
Timing is important because the owner may want to announce a Going out of Business Sale, and customers need time to settle their accounts. If the owner plans to open another business, this is a good time to inform all customers and others about the opening date and location of the new business. It is recommended that the letter for customers be sent three weeks to a month before closing one business and opening another.
A different letter should be sent to suppliers. They may need 60 - 90 days’ notice to close all accounts. Also, the timing depends on the type of business. An auto repair shop will want all cars collected by their owners and a retail shop will want to have time to sell their entire remaining inventory.

How to Write a Business Transaction Letter
A business transaction letter is a formal business letter that is written by an individual to a company requesting more information about the company. It is mainly used to establish formal correspondence to get an idea about how the company is run and if it offers any additional services or products than are listed in a catalogue or advertisement.
If the letter is from one company to another, it should be written on company letterhead. This proves the letter and the request for information comes from the business and not personally from the business owner.
If the recipient is known to the business owner, the letter should be address to that person. However, if the name is not known, it can be addressed to the head of a department or To Whom It May Concern.
The letter should clearly state that the sender is interested in the services or products of the company and would like more information. Any questions can be listed in bullet points. The sender can ask any question they have. This is their chance to learn as much as they can about the company and get the answers in writing.
The letter should:
• Be formal and professional
• Clearly state the information required
• Put the major points in bullets
• Request answers in writing
Some people mistake a business transaction letter with a letter that itemizes a deal or oral contract. This type of letter is usually called a letter for a business transaction and is intended to be a clear communication in writing that gives all the details about a future business transaction. A letter for a business transaction should state in the first sentence that the aim of the letter is to confirm a previous discussion.
Include Details
After that, the specifics of the discussion should be stated in detail including the duties and responsibilities of each party involved in the transaction. It should include the name of the person with whom the sender spoke and the name of both companies. A termination date for the transaction should also be included. This letter should also be sent by certified mail, return requested and a copy kept by the sender.
Below is a sample business transaction letter. It is intended to get more information about a company. It should be written in formal business letter style and sent by certified mail, return requested. The sender should also keep a copy of the letter.

RE: Business Transaction
Dear Name of Receiver:
This letter is a formal request for more information concerning your cleaning services. I have seen your advertisements and understand basically what you offer, but would like more detailed information. My questions include:
• Are there fees and costs that are not included in the main price?
• Do you offer a monthly price or only a weekly price?
• Do you pay for the cleaning products or do I provide that?
• Are your employees licensed, bonded and insured?
Thank you for taking the time to answer my questions. I look forward to hearing from you in the near future. I can be reached at Phone Number and at Email Address.

Writing a Business Solicitation Letter
Most business solicitation letters are written to invite tenders, donations or quotations. The letter should include the details of the services that are being requested as well as the terms and conditions of the agreement. It should follow formal business-letter format, so the content is clearly expressed and in the proper place.
If the intention of the business solicitation letter is for a quote for a contract job, it may be sent to several places. The sender should first make a list of the companies they want to approach for a quote. They should call each company and find out the name of the person who is in charge of giving quotes and address the letter to that person.
It should clearly state the tasks required and specifically request a price quote for performing those tasks. A clear, concise letter is a mark of respect for the receiver and has a better chance of success than a casual, awkward letter. The letter should also state the action expected from the recipient such as the date when a response or quote will be expected.
Also called fundraising letters, business solicitation letters are used when an organization is having a fundraising campaign or special fundraising event. The aim of the letter is to alert the recipient of the need for donations or participation on behalf of the charity or institution.
There may be local laws regarding solicitation letters, and the sender organization should make sure they are in compliance with the laws before starting their fundraising campaign
The letter should be addressed to an individual and use the company’s legal name. If the sender doesn’t know who is in charge of charitable giving, they should call the business being contacted and ask for the name of the person or of the financial officer.
Express Gratitude
The letter should state the cause and express gratitude that the receiver is taking the time to consider donating. They can also state a fundraising goal if applicable and explain how the funds will be used.
For example, all the proceeds from the event will be used to build a new computer lab at a particular school. It may also state that the sender would like to have a long-term relationship with the business.
If an event is involved, the letter should clearly state the time, date and venue of the event and give a description of the activities that will be included such as a guest speaker or entertainment.
If applicable, the sender can also mention that the recipient’s company will get special promotions as well as advertising at the event such as their logo displayed on the program and other places, and be able to network with other invited participants. A minimum amount of donation expected should be mentioned unless there is no minimum amount. In that case, the letter can state that.
Business Solicitation Letter Sample Template
Here is a sample business solicitation letter for fundraising. It should be written on letterhead if possible. If the letter is to a company requesting their participation in a charity event, it should be sent by certified mail so the sender is sure it was received. If it is sent to many individuals on a mailing list, it need not be sent by certified mail.

We are requesting you to purchase one or more tickets to the fair to help us raise funds. Tickets are $25 each for adults and $15 each for children between six and 15 years.
